The Invoices screen lists every bill you have made. Open it from the sidebar.
Search and filter
- Type in the Find box to find a bill by its number or by the customer’s name.
- Pick a date range with the first row of chips: All time, This month, Last month, This quarter, This year, This FY, or Custom… for any two dates you choose. This FY is the financial year, 1 April to 31 March.
- Use the second row of chips to filter by payment status: All, Unpaid, Partial, or Paid.
The three work together — a bill is listed only when the date range, the status chip and the search box all match it. The screen opens on All time, so every bill you have made is shown until you narrow it down.
Each row shows the invoice No., Date, Party, Taxable, Tax, Total, Status, and the Balance still due.
Sales graph
Above the list is a Sales graph of your takings. It follows the date range and the search box — change either and it redraws — and always agrees with the Total in the strip below.
- Use the Day / Week / Month / Year switch to change how the time is grouped. The total never changes, only how it is divided up.
- Point at a bar (or tap it) to see the exact amount for that day, week, month or year.
- The line underneath reads Total — what the graph adds up to — and Avg per day with sales (or week, month, year, whichever grouping you picked). That average counts only the days you actually billed on, so it is “what a selling day is worth”, not a daily run rate: days the shop was shut do not pull it down.
- Click the arrow at the top-right to collapse or expand the graph. On a very short window the graph is hidden, leaving the list its space.
The totals strip
The strip at the bottom answers one question — who owes me what — with three figures side by side:
- Total — what those bills come to.
- Received — how much of it has been paid.
- Balance — what is still due. Total − Received = Balance, always.
The status chip filters the rows; it does not re-add the money. The strip covers everything the date range and the search box let through, whichever status chip is selected. That is deliberate: if the strip followed the chip, Received would always read ₹0.00 under Unpaid and Balance would always read ₹0.00 under Paid, and you could never see the split. So tap Unpaid to see only the bills to chase — the three figures below stay where they are.
When the chip is hiding rows, the count says so: it reads “3 of 12 invoices” — 3 on screen, 12 behind the money. With no rows hidden it just reads “12 invoices”.
Two counts, two questions. The number beside the Invoices title is how many bills are in your books altogether; it stays put when you filter. The count in the strip is about what you are looking at right now.
A credit note counts against you here, because that is what it is: raise a ₹236 credit note and both Total and Balance drop by ₹236.
Dates are shown as DD/MM/YYYY and money as ₹.
Open a bill
Click any row to open the invoice. From there you can print, share or send it — see Print, share or send an invoice.
Record a payment
When a customer pays a Unpaid or Partial bill:
- Hover over the row and click Record payment (the ₹ icon).
- Enter the amount received and save.
Yojika updates the status to Partial or Paid and shows how much, if anything, is still due.
Delete a bill
Hover over the row and click Delete. You are asked to confirm. The invoice is removed from your records, but its number is never reused, so your numbering stays gap-free.
If you have set a passcode with the edit/delete guard on, Yojika asks for your PIN first.
Duplicate document numbers
If a Duplicate document number warning appears, another live document of the same type has the same number. Yojika keeps both records. Before you use one, compare its party, date and total, and check the record ID in the warning; each row still opens its own record. Printing or exporting a PDF keeps the original document number. Deleting one duplicate clears the warning, but its number is never reused.
