Sales and purchases change stock for you. When you need to correct a count by hand — after a physical count, damage or expiry — use Adjust stock.
Adjust an item’s stock
- On the Items screen, hover a goods item and click Adjust stock.
- Choose Add or Reduce.
- Enter the Quantity (you can use the item’s secondary unit if it has one).
- Pick a Reason: Physical count, Damaged, Expired or Other, and add an optional Note.
- Set the Date if it was not today.
- Check the New stock preview, then click Save adjustment.
Stock actions appear only for goods — services hold no stock.
Negative stock is allowed
If a reduction would take stock below zero, Yojika shows an amber warning but still saves the adjustment. This lets you keep billing even when your counts are catching up. The same is true when you sell more than you have on hand.
See stock history
Hover an item and click Stock history to see its full movement ledger — Opening, Sale, Sales return, Purchase and Adjustment — newest first, each with a signed quantity and a reference. You can start an adjustment from here too. For batch- or serial-tracked items, this view also lists batches (with expiry) and serial numbers.
Low stock and out of stock
Set a Low-stock alert quantity on an item to be warned before you run out.
- The Stock column turns amber when an item is at or below its alert level, or has run out.
- Use the Low stock chip to list items at or below their alert level, and the Out of stock chip to list items with none left.
