Update many items at once

Change the price, GST rate, category, unit or low-stock level across lots of items in one go, after seeing exactly what will change.

When a tax slab changes or a supplier’s prices move, you do not have to open every item one by one. Bulk Update Items changes one or more fields across all the items you tick — after showing you exactly what it is about to do.

Open Utilities in the sidebar and click the Bulk Update Items tile.

Select the items

  1. Tick the checkbox beside each item to change, or tick the box in the column header to select everything on screen.
  2. Use the search box to narrow the list by name or HSN code. Changing the search clears the ticks, so an update can never hit items that scrolled out of view.

Choose what changes

The dialog lists six fields — GST rate, Sale price, Purchase price, Category, Unit and Low-stock level. Switch on only the ones you want to change; everything else on each item stays as it is.

  • GST rate picks from the same rate list the item editor uses.
  • Prices take up to two decimals; the low-stock level takes up to three.
  • Category can also clear the category from the ticked items (pick No category).

Check the preview, then apply

Below the fields the dialog spells out the run before anything is saved:

  • each field you switched on, the value it will set, and how many of the ticked items actually change (items already at that value are called out);
  • every ticked item by name with its old and new values — items that will not effectively change say no change.

Click Update N items. The whole change is applied in one go: either every ticked item is updated or none is — if anything fails partway (the computer loses power, for instance), you will not be left with half a catalogue changed.

Two things worth knowing:

  • Services hold no stock, so a bulk low-stock level never sets one on a service — it stays at zero, same as in the item editor.
  • Bulk update does not touch stock quantities. To correct stock, use the item’s Adjust stock action, which keeps the movement history honest.
