Add and edit items

Build your catalogue of goods and services with prices, GST rate, HSN/SAC and barcodes.

Your items are the goods and services you buy and sell. Adding them once means billing is just a few keystrokes later.

Open the Items screen

Click Items in the sidebar. Each row shows Name, HSN / SAC, Unit, GST, Sale ₹, Purchase ₹, Stock and a Goods or Service tag. Search by name or HSN, and use the chips (All, Low stock, Services, Out of stock, Expiring) and the Category dropdown to narrow the list.

Add an item

  1. Click New item (or press Ctrl+N).
  2. Enter the Item name.
  3. Choose Goods (something you stock) or Service (no stock).
  4. Fill in the details you need:
    • HSN code (for goods) or SAC code (for services) — the GST code for the item.
    • Unit — how you count it (pcs, kg, box…). You can also add a secondary unit.
    • GST — the tax rate that applies.
    • Sale price — what you sell it for.
    • Purchase price — what you usually pay for it.
    • Cess — a compensation cess percent, only for a few luxury/demerit goods. Leave blank if none.
    • Low-stock alert — Yojika warns you at or below this quantity.
    • Wholesale price and Min. wholesale qty — an optional bulk rate that kicks in above a quantity.
    • Category — group similar items (see Categories).
  5. Click Add item.

Opening stock

When you add a goods item, you can enter its Opening stock — how much you have right now. Leave it blank if you are not sure. After the item is created, all stock changes go through Adjust stock.

Barcodes

For a goods item, use the Barcode field to type or scan a code with a barcode reader, or click Generate to create one for you. Once an item has a barcode, hover its row in the list and choose Print label to print price labels.

Track batches or serials

Two optional switches help with specific trades:

  • Track batches — records a batch number and expiry for medicines, food and similar goods. Items nearing expiry appear under the Expiring chip.
  • Track serials / IMEI — records one serial number per unit, for electronics and mobiles.

Edit an item

Click a row to edit it. Change any detail and click Save. If you change the Unit of an item that already has stock, Yojika asks you to confirm, because the recorded quantity is not re-scaled.

Delete an item

Hover a row and click Delete. If the item has never been used, it is removed. If it appears on past invoices, Yojika cannot delete it (that would break those records) — instead you can Hide from catalogue, which keeps old invoices intact.
