Advances and settling

Record an on-account advance from a customer or to a vendor, then settle it against their open bills.

Sometimes money comes in or goes out before there is a bill for it — a customer pays an advance, or you pay a vendor up front. Record these as on-account payments against the party, then settle them against bills later.

Record an advance

  1. Open the party’s ledger (from Parties).
  2. Click On-account.
  3. Choose Received (money from a customer) or Paid out (money to a vendor).
  4. Enter the Amount, pick the Method and Date, and choose the account.
  5. Click Record.

The advance now sits against that party, waiting to be used.

Settle an advance against bills

  1. In the party’s ledger, find the advance under its advances list.
  2. Click Settle.
  3. Yojika lists the party’s open bills, oldest first, and fills in how much of the advance to put against each. Adjust any amount if you want.
  4. A left to allocate counter shows how much of the advance is still unused.
  5. Click to confirm.

Each bill you settled has its amount due and status updated. You can settle one advance across several bills, and you can leave a remainder for later.
