Estimates and quotations

Give a customer a price quote, then turn it into an invoice in one tap.

An estimate (or quotation) is a price quote you give a customer before the sale. It does not affect your stock, your GST reports, or your invoice numbers — it is just a promise of price. When the customer agrees, you convert it into a real invoice.

Estimates have their own number series that starts with EST, for example EST2025-26/0001.

See your estimates

Open Estimates from the sidebar. Each row shows the estimate number, its date, its status (Open, Converted, or Closed), and the total. Tap a row to open it.

The strip at the bottom answers how much have I quoted, and how much of it is still live, with three figures side by side:

  • Total — what the estimates in view come to.
  • Converted — how much of that has already become a real invoice.
  • Open — how much is still live and waiting on the customer. Converted + Open = Total.

The status chip filters the rows; it does not re-add the money. The strip covers everything the date range and the search box let through, whichever status chip is selected — so tapping Converted shows you only the converted rows and leaves all three figures where they are. When the chip is hiding rows the count says so, reading “3 of 12 estimates”.

Create an estimate

  1. On the Estimates list, click New Estimate.
  2. The editor opens titled Quotation / Estimate. Pick the customer.
  3. Add items, quantities and rates — the same line grid as an invoice.
  4. If you want the quote to expire, pick a validity date.
  5. Click Save (Ctrl+S).

Open, edit or print

Tap an estimate to open it. From the top of the detail screen you can:

  • Edit — change it while it is still Open.
  • Print — open the print preview to print or save it as a PDF. Choose the paper size (A4, A5 or a thermal width) the same way as an invoice.
  • Delete — remove it. Its number is not reused.

Turn an estimate into an invoice

Open the estimate and click Convert to invoice. Yojika creates a proper sale invoice — with a fresh invoice number and the same items — and opens it. Once converted, the estimate is marked Converted and cannot be converted again.
