Want to hand the customer a copy of their bill on their phone? Send a bill to a customer on WhatsApp in one tap: open the invoice, tap Share, and choose WhatsApp — Yojika opens the chat with a ready message and the bill attached, and you press send. Nothing is sent automatically, and the whole thing works from your own PC. This guide shows the exact steps on a desktop and on a phone, what the customer receives, and how a WhatsApp copy fits the GST rules.
Send a bill on WhatsApp in three steps
The flow is the same whether it’s today’s last sale or a bill from last month:
- Open the bill from your Invoices list — or use Save & Print the moment you finish making it. It opens as a preview with a Share button at the top right.
- Click Share, then choose the WhatsApp option.
- WhatsApp opens with a ready-written message for the customer’s number. Read it, and press send.
That’s it. You are always the one who presses send — there is no automatic sending and no “message everyone” button. This is deliberate: a message you have read is one you can stand behind, and blasting bills from your own number is what gets a number blocked.
On the desktop vs on a phone
Yojika is a Windows desktop app first, with an Android app on the way, so the Share menu adapts to where you are:
| You are on | What Share offers | What the customer gets |
|---|---|---|
| Desktop (Windows) | Share via WhatsApp (opens WhatsApp with a ready message), Copy message, Email | A WhatsApp message; the bill PDF is saved so you can attach it |
| Phone (Android) | Share PDF, Share image (PNG) through any app | The bill as a PDF file or a picture, sent straight from WhatsApp |
On the desktop, Share via WhatsApp opens WhatsApp for that customer’s number with the message already written. Copy message copies the same text so you can paste it into any chat, and Email opens your mail with the message while saving the PDF to attach. On a phone, Share PDF or Share image (PNG) pushes the bill into WhatsApp (or any app) as a proper attachment the customer can keep.
The message is yours to word
The text that goes with the bill isn’t fixed. Every document type — a tax invoice, a payment receipt, an estimate — can have its own message, with a live preview as you type. Set it once under Settings → Sharing & Messages and every share uses your wording, in your language.
If you collect payments by UPI, a pay-by-UPI link is added to the shared message for regular bills, so the customer can tap and pay on the spot. It is never added to a credit or debit note.
A quick worked example
Priya runs a gift shop in Coimbatore, Tamil Nadu. A regular customer buys ₹500 of stationery, taxed at 18%. It’s a sale within the state (intra-state), so the tax splits into CGST ₹45 + SGST ₹45, and the bill, INV2026-27/0184, totals ₹590 (₹500 + ₹45 + ₹45).
The customer is in a hurry and asks Priya to “just WhatsApp it”. Priya taps Share → WhatsApp on the open bill. WhatsApp opens with her ready message and a link to pay the ₹590 by UPI. She presses send; the customer gets the bill on their phone before they’ve left the counter. (The 18% rate here is only an example — confirm the current rate for your goods on cbic.gov.in.)
If that same customer were in Kerala, it would be an inter-state sale: a single IGST ₹90, and the total is still ₹590 — Yojika works out the split for you either way, and the bill you share reflects it.
Does a WhatsApp bill count under GST?
Yes. GST law lists the fields a tax invoice must carry, but it does not restrict how you deliver it. A soft copy sent over WhatsApp is perfectly valid as long as the invoice itself is complete — your GSTIN, the invoice number, the tax split, and the other mandatory fields under the CGST invoice rules (see the rules on cbic.gov.in). Sharing on WhatsApp replaces the paper, not the invoice: the record is still saved in your books, and you can reprint or re-share it any time. Confirm the current invoice rules on cbic.gov.in or with your CA.
Because Yojika is offline-first, the bill is created and stored on your own PC — sending it on WhatsApp is a step you choose, one customer at a time. Your books never live in someone else’s cloud.
Doing this without the fuss
At a busy counter, “send me the bill” shouldn’t mean typing anything twice. The point of good billing software is that the sale is saved the instant you hit save, and getting it to the customer’s phone is one tap — with your own message, a UPI link if you use one, and the bill attached as a clean PDF.
Yojika is offline-first GST billing software for Indian small shops. It works out the CGST/SGST or IGST split automatically, prints to A4, A5 or a 58 / 65 / 80 mm thermal receipt, and lets you share any bill on WhatsApp, by email, or as a PDF / image — all from the same preview, in any of 22 Indian languages.
