Why “best” is the wrong question

Search “best GST billing software” and you get ranked lists that often just reflect who paid for placement. A busy stationery shop, a two-counter supermarket and a home-run online seller need very different things. So instead of trusting someone else’s ranking, score the options against what your shop actually needs. Almost every good tool offers a free trial — use it at your own counter before deciding.

The scorecard: what to judge every option on

Rate each tool you consider from 0–2 on these, then compare totals. The GST rows are non-negotiable; get those wrong and the bill itself is wrong.

If a tool scores full marks on the two must-have rows and on offline, printing, backup and price, it is very likely a good fit — regardless of where a listicle ranks it.

GST first: the rows you cannot compromise on

A billing tool exists to get the tax right, every time, faster than you could by hand.

  • Place of supply decides the split. Same state → CGST + SGST, half the rate each. Different state → a single IGST at the full rate. The software should do this from the buyer’s state, not ask you to remember it. (New to this? See CGST, SGST and IGST — the difference.)
  • Current rates, cleanly applied. Since 22 September 2025, GST runs on mostly three slabs — 0%, 5% and 18% — with 40% on a short list of luxury and sin goods; the old 12% and 28% slabs were merged in. Good software simply applies the rate you set per item, so keeping items on the right rate is your job — confirm each on gst.gov.in or with your CA.
  • Clean invoice numbering. The CGST rules require a consecutive serial number, unique for the financial year (see cbic.gov.in). The tool should reset the count to 0001 each 1 April automatically.

A worked example: judging on GST accuracy

Anil runs a stationery and gift shop in Nagpur, Maharashtra. To compare two tools he rings up the same mixed bill in each: a printer-ink cartridge priced at ₹500 (taxable value, 18%) and notebooks worth ₹200 (taxable value, 5%), sold to a walk-in customer also in Maharashtra.

  • Ink: 18% → CGST ₹45 + SGST ₹45 = ₹90 tax.
  • Notebooks: 5% → CGST ₹5 + SGST ₹5 = ₹10 tax.
  • Taxable value ₹700 + CGST ₹50 + SGST ₹50 = ₹800 total.

If the same order went to a customer in Chhattisgarh, it becomes inter-state: IGST ₹90 on the ink and IGST ₹10 on the notebooks — ₹100 IGST in all, and the total is still ₹800, shown as IGST lines instead of two CGST/SGST rows. A tool that produces this split automatically, correctly, on both bills passes the most important test. One that makes you pick the tax by hand does not.

Be honest about scope — and expect the tool to be too

Good billing software makes correct invoices and gives you tidy GST summaries. It does not file your returns — that still happens on the GST portal or through your CA. Treat any claim of “automatic GST return filing”, e-invoicing or e-way bills as a reason to read the fine print carefully, especially for a small single-counter shop that doesn’t need them. The value you should pay for is fast, accurate billing and clean records — not features you’ll never switch on.

Price and total cost of ownership

“Free” is rarely free over a year. Watch for tools that cap invoices, add ads, or lock the features you need behind a later upgrade — and for data lock-in, where you can’t easily export your own sales and customers. Prefer:

  • Published, transparent pricing you can read before you sign up.
  • A real free trial so you can test at your own counter, not just watch a demo.
  • Your data on your machine, with an easy backup you control.
