How to Add a UPI QR Code to Your Shop Bill

Adding a UPI QR code to your shop bill lets a customer scan the printed bill and pay you in one tap — no typing your number, no waiting at the counter. In Yojika you set your UPI ID once in Settings, turn the QR on, and it prints on every bill. This guide shows how to add a UPI QR code to your shop bill, where it fits on the invoice, and the one GST point worth knowing.

What a UPI QR on a bill actually does

A UPI QR code is just your UPI ID (VPA) — like shopname@okaxis — encoded as a square barcode. The customer opens any UPI app (Google Pay, PhonePe, Paytm, BHIM), points the camera at the QR on your bill, and their app opens with your shop as the payee. They pay the bill amount, and the money lands in your bank account the normal UPI way.

Two things it is not:

  • It is not a payment gateway. The money moves over UPI directly to your bank; the bill software only prints the QR and lets you note that the customer paid by UPI.
  • It is not a legal requirement for a small shop (more on that below).

Set up the UPI QR in Yojika

In Yojika the QR lives under Settings → UPI QR / payment:

  1. Type your UPI ID (VPA), for example shopname@okaxis.
  2. Optionally set a Payee display name — it uses your business name if you leave this blank.
  3. Turn on Show UPI QR on invoices.
  4. Click Save UPI settings.

That’s it. The QR only prints once you have added a UPI ID, and it appears on A4, A5 and thermal (58/65/80 mm) bills. It never prints on a credit note, because a credit note returns money to the customer rather than collecting it.

A worked example

Meena runs a general store in Ranchi, Jharkhand (state code 20). A customer buys a school bag for ₹800 and a water bottle for ₹200 — ₹1,000 of taxable value, all at 18% (rates are illustrative; confirm the current rate on cbic.gov.in or with your CA).

Both Meena and the customer are in Jharkhand, so it is an intra-state sale and the tax splits into CGST and SGST:

  • Taxable value: ₹1,000
  • CGST 9% = ₹90
  • SGST 9% = ₹90
  • Total = ₹1,180

Meena prints the bill. At the bottom sits the UPI QR built from her shop’s UPI ID. The customer scans it, their PhonePe opens with “Meena General Store” as the payee, and they pay ₹1,180. Meena records the payment against the bill with method UPI and moves on to the next customer.

If that same order went to a customer in Bihar, it would be an inter-state sale: one IGST 18% = ₹180 line, total still ₹1,180 — and the same QR would collect it just the same, because UPI does not care which state the buyer is in.

The one GST point worth knowing

There is a GST rule about QR codes on bills — but it almost certainly does not apply to you. Under the sixth proviso to CGST Rule 46 (introduced by Notification 31/2019), a dynamic QR code is mandatory on B2C invoices only for businesses whose aggregate turnover is more than ₹500 crore (see the CBIC clarification).

An ordinary kirana, medical, garment or hardware shop is nowhere near ₹500 crore, so you are not required to print any QR. The UPI QR Yojika prints is a convenience — it speeds up collection, it does not tick a compliance box. Either way, the bill itself must still be a proper tax invoice with all its mandatory fields; the QR sits alongside them, never in place of them. Rules change, so confirm the current position on gst.gov.in or with your CA.

Static vs dynamic QR — keep it simple

You may read about two kinds of UPI QR:

  • Static — encodes only your UPI ID; the customer types or confirms the amount.
  • Dynamic — a fresh QR per bill with the amount baked in.

For a busy counter either works: the customer is looking at your printed bill, so the amount is right in front of them. What matters is that the QR points to your UPI ID and that you record the payment against the right bill so your day’s takings tally.

Why print it on the bill at all

A QR stuck near the counter works for a walk-in. But printing it on the bill helps in the cases where the customer isn’t standing in front of you:

  • A bill you share on WhatsApp or as a PDF — the customer scans it from their phone.
  • A credit (udhaar) customer paying an old bill later — the QR is right there on the copy they kept.
  • A delivery — the person carrying the goods doesn’t need to handle cash.
