Shop Expense Receipt Organisation: A Simple Filing System

Shop expense receipt organisation starts with one monthly folder, a consistent filename and a reference connecting each document to its expense entry. Keep the supplier bill and payment proof together, then list anything missing. This guide gives you a filing system you can use at closing time and a worked example for a small shop.

A shop expense receipt organisation system you can maintain

Create an Expenses folder with a year folder and a named month inside it, such as 2026 / October. Keep one paper envelope with the same label. Within the digital month folder, use two folders: To check and Filed.

Put new documents in To check. Move them to Filed after checking readability and adding their details to a receipt index. This can be a notebook or a simple spreadsheet; it is a manual filing aid.

Keep stock purchase documents in their own folder. For choosing the right entry in your books, use our guide to recording purchases and expenses. Here, the job is to make the supporting document easy to retrieve.

Choose a short internal reference such as EXP-041 and continue the sequence without reusing it. It is your filing label, separate from the supplier’s bill number.

A useful filename is:

13-10-2026_Shree-Repairs_EXP-041_bill.pdf

The date means 13/10/2026. Hyphens replace slashes because slashes cannot be used inside an ordinary filename. Name the payment proof 13-10-2026_Shree-Repairs_EXP-041_payment.pdf. Use the actual file extension: a phone photo stays .jpg unless you export it as a PDF.

Copy these fields into your expense receipt index:

FieldWhat to record
Filing referenceEXP-041
Document dateThe date printed on the bill
Supplier and bill numberAs shown on the source document
AmountThe bill’s full total
Payment detailsPayment date, method and transaction reference
Document locationDigital folder and paper envelope
StatusFiled, unreadable or supplier copy requested

Keep payment status separate from document status. An unpaid bill can be fully filed; a paid expense can still have a missing bill. If one payment settles several bills, list every bill reference against it rather than inventing separate payment confirmations.

Keep the bill and payment proof together

A supplier bill describes what you bought. A payment confirmation helps you trace money paid. Save both when available, since matching an amount alone can be misleading when you pay the same supplier repeatedly.

Download a supplier’s PDF when one is provided. For paper documents, capture the complete page and open the saved image to check the supplier name, date, bill number, description and total. Keep all pages of a longer bill.

Use one spelling for each supplier in filenames. Preserve the original details inside the document, and do not overwrite a source file when a corrected copy arrives. Label the new copy clearly and note which version you used in the expense record.

For GST records, Rule 56 covers maintaining accounts and relevant documents, including invoices and vouchers. See CBIC’s published CGST Rules, Chapter VII. This folder system is a retrieval aid; confirm the current record requirements and any input tax credit treatment on gst.gov.in or with your CA.

Worked example: three expenses in a Pune shop

Suppose Meena runs a shop in Pune, Maharashtra. On 13/10/2026, she reviews three fully paid expenses. These are illustrative final amounts, including any tax charged; they are not tax-rate examples.

ReferenceExpenseAmount paidDocuments available
EXP-041Printer repair₹650Supplier bill and UPI confirmation
EXP-042Cleaning supplies for shop use₹240Supplier bill and cash receipt
EXP-043Local delivery service₹310UPI confirmation; supplier bill missing
Total₹1,200

Her payment check is ₹650 + ₹310 = ₹960 by UPI, plus ₹240 cash, giving ₹1,200. The expenses with supplier bills total ₹890; the remaining ₹310 needs document follow-up. That missing document does not mean the payment disappeared.

For the cleaning supplies, assume the GST-registered supplier and the place of supply are both in Maharashtra, with ordinary taxable goods supplied locally. The invoice uses CGST and SGST under the same-state principle in CBIC FAQ 85. Meena keeps the supplier’s actual tax breakdown rather than reconstructing it from payment proof.

She writes EXP-043 — supplier bill requested in her index and expense notes. When the copy arrives, she links it to the existing entry. Receiving another document is not a reason to record another ₹310 expense.

A missing-receipt checklist for closing time

When a document is missing or unreadable:

  1. Record the supplier, expense date, amount and available payment reference.
  2. Ask the supplier for a readable copy, giving their bill number if known.
  3. Note the request date and a follow-up date in the index.
  4. Match the received copy to the existing expense before filing it.
  5. Leave unresolved items clearly marked for your accountant.

Once a week, pick one filed expense and try to retrieve its documents using only the index. If you must search old chats or guess the filename, fix that reference while the transaction is still familiar.

Use Yojika notes to connect the records

Yojika’s Expenses screen supports a category, amount, date, payment method and Notes. Put a reference such as EXP-041; October folder in Notes. Use the date and category filters to locate the expense, then retrieve its documents from your separate filing system.

Frequently asked questions

What should I put in an expense receipt filename?

Use the document date, a consistent supplier name, your internal reference and the document type. Keep the supplier’s original bill number in your index, even if you shorten the filename.

What if I have payment proof but no supplier bill?

Keep the payment proof and mark the supplier document as missing. Ask for a copy and record when you followed up; ask your CA how to treat the expense and any GST credit.

Should I discard paper receipts after photographing them?

Keep the originals while you confirm the applicable record requirements with your CA. A photograph helps retrieval but should not be treated as automatic permission to discard the source document.

How can I connect receipt files to Yojika expenses?

Put your filing reference in the expense’s Notes field, then keep the same reference in your separate receipt index and folder. Use the expense date and category filters to find the entry again.
