Switch to Billing Software: A Shop Changeover Plan

To switch to billing software, prepare the counter before moving live sales, choose a clear starting day, and check that each sale is recorded once. Keep your old books available while you learn the new routine. This guide covers the handover from paper bills to software, especially the first day’s checks.

Before you switch to billing software

Choose a morning when you can give the first few customers extra time. Avoid making the change just before your busiest trading period simply because the computer has arrived.

Write a short changeover note with:

  • The final date covered by the old billing process.
  • Where the old bill books and customer records will be kept.
  • The first day of live software billing.
  • Who will check the first day’s bills and collections.
  • What you will do if the computer or printer stops working.

For the setup screens, follow our shop billing software setup guide. For the figures you carry forward, use the opening balance checklist. Here, the focus is making the change at the counter without losing track of a transaction.

Rehearse the actions, without creating false sales

Practise finding an item, choosing its unit, entering a quantity, checking the price and selecting a payment method. Include a loose-quantity item and a customer buying on credit if those are normal for your shop.

Use a separate demonstration environment if your software provides one. Otherwise, ask the provider how to practise without posting transactions to your live books. Do not save invented customer sales and assume you can erase their effect later.

Before opening, check the printer connection and run a printer test page. When the first genuine bill is issued, inspect the printed item names, amounts and footer. If printing fails after a bill has saved, find that saved bill before trying again. A second press of “new bill” can turn a printing problem into a duplicate sale.

Also rehearse finding an older bill. Customers may return with a question before you have become comfortable with the software.

Decide how invoice numbering will continue

For GST tax invoices, Rule 46(b) requires consecutive numbering in one or multiple series, unique for the financial year. Moving to a computer does not make a number already used on paper available again. See CBIC’s Rule 46 text.

Check the proposed software series against your paper invoices before issuing the first live bill. Record the last paper invoice and first software invoice in your changeover note. Have your CA confirm the current rule and the numbering arrangement for your shop; do not assume the software’s default prefix is suitable.

Keep the old records accessible. CGST Act Section 35 requires registered persons to maintain accounts including inward and outward supplies and stock. Agree retention and any historical data entry with your accountant before disposing of paper records.

Use one live billing process at the counter

Once software billing starts, a checking notebook can list invoice references and problems to investigate. It should not become a second set of sales that you later add to the software total.

A fallback paper bill needs special care. Keep it identifiable, preserve its original date and number, and agree how it will enter your accounts. When the computer is available again, do not issue a fresh invoice for the same supply merely to get it onto the screen. Confirm the appropriate recording method with your accountant and software provider.

If the practice checks are unfinished, postpone the switch. Continuing an established process for another day is easier to explain than reconstructing a morning of uncertain bills.

Worked example: checking a Pune shop’s first day

In this fictional example, Meera starts software billing at her Pune household-goods shop on 26/10/2026. Her accountant has checked the item tax settings and opening balances. The day’s ordinary local taxable sales have both supplier location and place of supply in Maharashtra, so CGST and SGST apply, as explained in CBIC FAQ 85.

These are illustrative final bill amounts, including applicable tax, grouped by payment method. They are not a sample tax invoice or a product-rate guide.

New billsNumber of billsFinal bill amounts
Fully paid in cash9₹4,500
Fully paid through confirmed UPI payments6₹3,200
Entirely on credit3₹1,800
Total18₹9,500

Meera checks 9 + 6 + 3 = 18 bills and ₹4,500 + ₹3,200 + ₹1,800 = ₹9,500. Money received against these new bills is ₹7,700; the remaining ₹1,800 is customer dues.

She also receives ₹600 in cash against an old khata balance. Total receipts are therefore ₹8,300, but new bills still total ₹9,500. The ₹600 collection reduces the old debt; it is not another sale. These receipts are not the closing cash-drawer balance, which also depends on opening cash and cash paid out.

Finally, she matches the 18 invoice references to the saved sales list and investigates any missing or repeated entry. This verifies the handover rather than merely checking that the printer worked.

FAQ

Do I have to enter every old paper bill into the software?

Not necessarily. Agree how to preserve past records and carry forward outstanding amounts with your accountant. Entering old bills again as new sales can duplicate turnover, dues and stock movements.

Should I write a paper bill as well as a software bill for every sale?

Use one issued invoice for each sale. A separate checking sheet can reference that invoice, but should not become another sales record that gets added to the totals.

Can I switch to billing software during a busy festival week?

Choose a quieter opening day if possible. If practice, numbering or printing checks are unfinished, keep your established process until you can complete the changeover checks.

What should I check at the end of the first day?

Match issued bills to the sales list, then separate new sales from collections against old dues. Check payment methods, outstanding amounts and the latest backup before closing.
