How to Do a Physical Stock Count for a Small Shop

A physical stock count is when you count what is actually on your shelves and match it against what your records say you should have. For a small shop the goal is simple: find the gaps — damage, expiry, a missed entry, or pilferage — fix each one with a reason, and start the next month with numbers you can trust. This guide covers how to do a physical stock count for a small shop step by step, how to reconcile the count against your system, and how to record the correction cleanly.

Why count stock at all?

Your records drift from reality over time. A bag of dal splits and is thrown away, a customer returns a packet that never gets logged, a supplier delivery is entered twice. None of these are dishonest — they just quietly pull your “on paper” stock away from the real shelf. A periodic count is how you pull the two back together.

There is a compliance reason too. A registered business is expected to keep a stock account — the opening balance, goods received and supplied, and items lost, stolen, destroyed, written off or given away — under Section 35 of the CGST Act read with Rule 56 (see the rules on cbic.gov.in). The exact detail expected of a small shop varies, so confirm the current position on gst.gov.in or with your CA rather than assuming.

When to do a physical stock count

  • Year-end (31 March) — a full count as the financial year closes.
  • Half-yearly or monthly — for fast-moving items where small errors add up quickly.
  • Cycle counts — a few shelves each week, so you never have to shut for a whole day.
  • After a disruption — a flood, a break-in, or a big festival rush.

The physical stock count, step by step

  1. Bring your records up to date first. Enter every pending bill, purchase and return, so the system figure you compare against is current.
  2. Count when the shop is still. After closing or before opening, so stock isn’t moving in and out while you count. Split a large shop into sections.
  3. Count everything once, carefully. Go shelf by shelf. Note the quantity in the unit you sell in — kilograms, pieces, packets, boxes.
  4. Write it down as you go. A count sheet or your phone. Don’t trust memory across a hundred items.
  5. Compare counted against system. Line up your count next to the recorded stock and mark every difference.
  6. Find the reason before you change the number. A gap is a missed purchase, a return never logged, damage never written off, or shrinkage. Adjusting blindly just guarantees the same gap returns next time.
  7. Post the correction with that reason so the record matches the shelf — and so the next person can see what happened.

Reconcile: counted vs system, with a worked example

Anil runs Anil Kirana Store in Nagpur, Maharashtra. After closing on 25/08/2026 he counts three fast-movers and lines the count up against his recorded stock:

Two items need a correction; one already ties out. Anil posts:

  • Toor Dal — Reduce 2, reason Damaged. System stock 40 − 2 = 38, now equal to the count. At a cost of ₹120/kg that is a recorded stock loss of 2 × ₹120 = ₹240.
  • Parle-G — Add 6, reason Other with a note “purchase dated 22/08/2026 not entered”. System stock 120 + 6 = 126, now equal to the count.

Sunflower Oil is left alone. After saving, every system figure matches the shelf, and each change carries a reason he can look up later.

Record the correction the right way

When sales and purchases move stock, that happens automatically. It’s the by-hand correction after a count that matters, and it should never be a silent overwrite.

In Yojika you open an item, choose Adjust stock, pick Add or Reduce, enter the quantity (in the item’s own unit or a secondary unit), and choose a ReasonPhysical count, Damaged, Expired or Other — with an optional note and a date. A New stock preview shows the result before you save.
