Match UPI Payments to Bills

To match UPI payments to bills, compare each confirmed receipt with its invoice using the amount, date and transaction reference. Separate today’s sales from collections of older dues, then investigate anything pending or unmatched. This checklist covers the manual comparison, a small-shop example and the records to keep in Yojika.

How to match UPI payments to bills at closing

Keep three records beside you: your bills, your recorded collections and your merchant payment history. Add a bank statement when checking where the money landed.

Choose the same date window in each record. For a day ending after midnight, note the closing time so the next day’s early payments do not slip into the comparison.

1. Confirm receipt on your side

Check your own merchant app or bank transaction record before treating a UPI payment as received. A customer’s screenshot is a clue to investigate, not a replacement for that check.

Look for the amount, time, recipient and transaction reference. Paytm’s merchant payment verification guide describes checking payment history and searching for a specific transaction ID or UTR. Use your provider’s equivalent screen.

Keep successful, pending and failed attempts separate. If the status is unresolved, save its reference and check again through the provider. Do not assume that an amount debited from the customer’s account has already reached you.

Use a notebook or spreadsheet with these columns:

Two customers can both pay ₹500. Match by reference and context as well as amount. If one payment covers several bills, list the allocation against each bill and check that those portions add up to the receipt.

3. Separate collections from new sales

A customer clearing last week’s udhaar increases today’s collections without creating a new sale. A part-paid bill contributes only the amount actually received to collections.

Worked example: a Pune shop closes the counter

Imagine a Pune stationery shop checking three bills on 24/09/2026. All figures below are final bill amounts; this is a payment-matching example, not a product tax-rate table.

Today’s sales are ₹450 + ₹780 + ₹600 = ₹1,830.

Confirmed receipts against those new sales are ₹450 + ₹780 + ₹200 = ₹1,430. The remaining ₹400 stays on the follow-up list until its status is resolved.

Today’s confirmed UPI collections are ₹450 + ₹780 + ₹500 = ₹1,730, including the older due. Including cash, total confirmed collections are ₹1,930. The difference from today’s sales is explained by ₹500 of older dues minus ₹400 still unconfirmed.

Use the tax figures already on the bills for this matching exercise. Confirm current product rates and any invoice corrections with your CA.

Investigate mismatches before changing records

  • Pending payment: retain the reference and follow up. Before requesting another payment, explain that the first attempt remains unresolved and agree how any later duplicate receipt will be handled.
  • Confirmed receipt, no matching bill: check older dues, advances, another shop QR and the date window. Do not create a new sale just to make totals agree.
  • Bill marked paid, no confirmed receipt: check the receiving account and any cash portion. Correct the payment record only after establishing what happened.
  • Possible duplicate: distinguish one receipt entered twice in your books from two separate successful customer payments. Verify both references before arranging a refund, and retain the refund record.

Give unresolved entries a next action and follow-up date. NPCI’s UPI FAQ directs merchants to their acquiring bank for transaction-status checks and grievances. Use the bank or provider’s official support route rather than guessing a reversal deadline.

Check bank settlement separately

If payments arrive directly in your bank account, match those credits to the receipts. If your provider settles collections through payouts, compare its settlement report with the bank credits as a separate step.

Paytm’s settlement reconciliation guidance says to match the settlement UTR to the corresponding bank credit. Keep that payout reference separate from the individual customer payment reference.

Check the report’s transaction period, settlement date and listed adjustments. Do not reduce a customer’s recorded payment merely to force agreement with a different bank-credit amount. Settlement timing depends on your arrangement; check your provider’s current terms.

Keep the bill-to-payment trail in Yojika

In Yojika, open an unpaid or partially paid sales invoice and choose Record payment. Enter the confirmed amount, select UPI, check the date and receiving account, and save the transaction identifier in Reference. Check existing payments first so you do not record the same collection twice.

Open Payment In, choose the date range and compare the recorded method, reference, invoice and amount with your merchant history. A saved payment reflects what you entered; it does not independently confirm that your bank received it.

Frequently asked questions

Should today’s UPI receipts equal today’s sales?

Not necessarily. Older dues increase collections, while cash sales and unpaid bills change the comparison. Match individual receipts first.

Is a customer’s screenshot enough to mark a bill paid?

Check your own merchant app or bank records using the reference, amount and time. Keep an unconfirmed payment on your follow-up list.

What if two payments have the same amount?

Compare references, times and linked bills. Equal amounts alone do not establish a match or a duplicate.

Does Yojika automatically reconcile UPI payments?
