Shop Price Label Check: Match Shelf and Bill

A shop price label check compares the product on the shelf, its displayed offer and the final price selected at the billing counter. Start with changed prices, ending promotions and similar-looking packs. This guide gives you a shelf price audit routine, a correction record and a worked example you can use before the next busy day.

A shop price label check in five steps

Choose one shelf or product group and carry a notebook or simple worksheet. Work through each mismatch completely before marking that item checked.

  1. Pick up the actual pack. Read the brand, variant, weight or pack count. If you use a barcode, compare it with the billing entry too.
  2. Read the label below it. Confirm that it belongs to this product. Check the offer price, quantity conditions and any end date.
  3. Look up the same item at the counter. Compare its unit and final selling amount with the shelf offer. A per-piece price cannot be compared directly with a box price.
  4. Resolve any difference. Check the intended price with the owner, identify which entry or label is wrong, and correct it. A larger amount in the software is not proof that the shelf label is wrong.
  5. Check again after the correction. Confirm the physical label and the billing selection now agree. Record who checked them and when.

Include labels on display baskets and end-of-aisle stands. A product may have been moved to its usual shelf while an old promotional card remains beside the extra display.

Keep three prices clear

The package MRP, your shelf selling price and the amount selected for billing have different jobs.

Price or labelWhat to check
Package MRP, where applicableRead the declaration on the actual pack being sold.
Shop shelf priceConfirm the intended final selling price and any offer conditions.
Billing priceCheck the selected product, unit, quantity and final payable amount.

For packaged commodities covered by MRP rules, MRP includes all taxes and the retailer cannot sell above it. The Department of Consumer Affairs explains this in its Consumer Handbook, printed page 34. Keep your shelf-label correction separate from the manufacturer’s package declarations; this routine is not an instruction to alter the printed MRP.

A shelf offer may be below the package MRP. That does not make a higher billing price an acceptable substitute for checking the offer. If a customer has already picked up the product, pause and resolve the displayed-price difference before taking payment.

Worked example: an active offer in a Pune shop

In this fictional shop, Meera checks two packs before the evening rush. The owner confirms that the shelf offers are still active. All amounts below are assumed final consumer prices, including any applicable tax; they are not product GST-rate examples.

ProductPackage MRPActive shelf priceBilling price foundCorrect price for this offer
Sample Brand Tea, 250 g₹120₹110₹120₹110
Sample Brand Soap, 100 g₹40₹38₹38₹38

A customer wants two tea packets and three soap bars:

  • Tea at the confirmed offer: 2 × ₹110 = ₹220.
  • Soap at the confirmed offer: 3 × ₹38 = ₹114.
  • Correct final amount: ₹220 + ₹114 = ₹334.

Using the stale tea price would give ₹240 + ₹114 = ₹354, a difference of ₹20. The correction belongs to the tea price; there is no reason to change the soap entry or the stock quantities.

For an ordinary taxable sale where both the supplier location and place of supply are Maharashtra, CGST and SGST apply, as explained in CBIC’s supply FAQ, question 85. Confirm the current product classification and rate on gst.gov.in or with your CA. The shelf-price comparison above does not determine either.

Record the correction, including the second check

Use one row per mismatch. Here is a compact record for the tea example:

FieldExample entry
Date and location21/10/2026, tea shelf
ItemSample Brand Tea, 250 g
Difference foundShelf ₹110; billing ₹120
DecisionOwner confirmed ₹110 offer remains active
Action completedCorrected billing price; shelf label already correct
RecheckSame pack selected; final unit price ₹110; checked by Meera

If a promotion has ended, record the decision and replace the shop’s promotional labels wherever they appear. Then check the next genuine sale before finalising it. Avoid saving a dummy sale merely to test a price, because it can affect sales and stock records.

If similar product names caused the mismatch, use a consistent shop item naming convention. Keep this price audit focused on whether the shelf and counter agree; a full catalogue cleanup can be a separate task.

Check the item price in Yojika

Open Items → Products, find the exact item and choose Edit. Check Sale price and Price type, which offers Inclusive GST and Exclusive GST, before saving the intended correction. Keep the unit and verified tax details unchanged unless they need a separate correction.

On the next bill, check the Incl. GST / Excl. GST setting and the final amount. That switch applies to the whole invoice, so the item price alone is not the complete check. Replace the physical shelf label separately if needed.

FAQ

What should I compare during a shop price label check?

Compare the physical product, its pack size, the shelf label and the final selling price shown on the bill. Check any offer conditions and the package MRP where applicable.

How often should I check shelf prices?

Check affected shelves whenever a price or promotion changes, and include recently moved products in your next check. A small daily sample can help you spot problems without checking every shelf each morning.

Does changing an item price replace the shelf label?

A price edit does not replace a physical label. Replace or correct the shop’s shelf label separately, then compare it with the selected billing item again.

What if the shelf price and bill disagree?

Pause before collecting payment, identify the exact pack and check the displayed offer with the owner. Explain and resolve the difference with the customer, then correct the underlying mismatch and recheck it.
