How barcode billing works (it’s simpler than it looks)

There are only three moving parts:

  1. A barcode scanner. Most retail scanners are USB and act like a keyboard — plug one in and it “types” the code it reads, followed by an Enter. No special driver, no setup screen. This is why almost any inexpensive scanner works with good billing software.
  2. A barcode saved against each item. Every product in your catalogue carries a code. Packaged goods usually have a printed barcode already; for loose or unbranded items you print your own label and assign a code once.
  3. The billing software. When a code arrives, the software looks it up, finds the matching item, and drops a full line onto the bill — description, rate, HSN and the correct tax — ready to total and print.

So the scanner does not need to be “smart”. The intelligence is in the software’s item lookup. That is the part worth choosing carefully.

A quick honesty check while you compare tools: barcode billing is about speed of entry, not magic. It will not fix a catalogue with wrong prices or missing HSN codes — so pick software that also makes it easy to import and clean up your item list.

A worked example: scanning a bill in Indore

Suppose Meena runs a general store in Indore, Madhya Pradesh. A customer brings two items to the counter, and Meena scans each barcode:

  • LED bulb × 2 @ ₹150 = ₹300
  • Extension board × 1 @ ₹400 = ₹400

Both are taxed at 18% (confirm the current rate for your goods on cbic.gov.in). Because the buyer is in the same state, this is an intra-state sale, so the 18% splits into CGST and SGST:

  • Taxable value = ₹300 + ₹400 = ₹700
  • GST 18% on ₹700 = ₹126CGST 9% = ₹63 and SGST 9% = ₹63
  • Invoice total = ₹700 + ₹63 + ₹63 = ₹826

If the same customer were from another state, it would be an inter-state sale: a single IGST 18% = ₹126, for the same ₹826 total — shown as one IGST line instead of two. (The buyer’s place of supply is what decides the split — see our guide to CGST, SGST and IGST.)

Where barcode billing pays off — and where it doesn’t

Barcode scanning earns its keep when:

  • You ring up many items per customer (a supermarket or busy general store).
  • You stock look-alike products at different prices — scanning removes the guesswork.
  • You want a shorter queue at peak hours without hiring another hand at the counter.

It matters less for a tiny shop with a handful of fast-moving items, where typing the first few letters of a name is just as quick. Be honest about your own counter before you buy.
